Administrative Assistant

Responsibilities:

  • Provide a broad range of administrative support, including mail processing, document preparation and data entry.  Coordinate external support services, including telephone, security and copier systems.
  • Provide back-up support to the receptionist as necessary.  Ensure lobby and conference rooms are orderly and prepared for meetings.  Help plan and/or coordinate firm social events.
  • Schedule and coordinate meetings and appointments, utilizing shared Outlook calendar to facilitate.  Assist attorneys in scheduling/coordinating client meetings and web seminars.  Review daily calendars and anticipate needs for upcoming firm and attorney meetings.  Effectively communicate plans and details of scheduled meetings, conferences and other events.

Requirements:

  • 1-2 years previous experience in an administrative role.
  • Associates Degree or equivalent combination of experience and education
  • Excellent organizational and time management skills
  • Strong interpersonal skills and the ability to work easily with a wide variety of individuals
  • Proactive, self-motivated problem-solver
  • Proficiency with Microsoft Office applications
  • Previous experience in the legal field is a plus
