Garfinkel Immigration Law Firm seeks an Administrative Assistant/Marketing Coordinator to join our team. This newly created position is an ideal opportunity for candidates who possess excellent written and oral communication skills along with professional demeanor who willing to take on both administrative and marketing duties.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Website and Internet

    • Update attorney biographies as needed.
    • Update Immigration News, Garfinkel News and blog posts as needed.
    • Update pictures every few months.
    • Update client testimonials every few months.
    • Update firm profile on Martindale Hubbell and FindLaw.com.
    • Respond to surveys and lawyer rankings.

Communications

    • Update print materials as needed, including attorney bios and immigration memos.
    • Prepare newsletter for review.
    • Prepare draft and e-mail press releases for media and member organizations for review.
    • Update contacts as needed.
    • E-mail client survey questions for case milestones (NIV, NATZ, PERM, I-140 approvals).
    • Assist in updating communications for Hispanic Marketing Campaign (i.e. print ads, radio content and flyer content)
    • Assist with assembling mailing lists and coordinating mass mailings or following up with potential clients by e-mail.
    • Create/produce announcements and invitations for various events, both in print and e-mail formats.
    • All memos, checklists, bios, etc. up to date/correct letterhead/stored correctly in user directory.
    • Prep for presentations, marketing efforts (SHRM conf. planning, setup attending with attorneys)

Administrative Support

    • Provide general office support, including invoice processing mail processing, document preparation/assembly, and data entry.
    • Perform administrative duties as needed including filing original documents, emailing documents, sending government notices, and scanning and appending documents electronically.
    • Order letterhead, envelopes, business cards and other promotional materials as needed.
    • Assist with annual client gift list preparation and ordering.
    • Assist with annual membership renewals for professional organization memberships.
    • Maintain spreadsheet for Attorney Business Development program.
    • Update Marketing/PR calendar with events as needed.
    • Assist with setup for Immigration Sessions and all “Meet and Greets”.

Successful candidates will have the following:

    • Experience working in professional service firm(s).
    • Associates’ degree or higher, or a combination of education and experience.
    • Excellent written and oral communication skills, including grammar and spelling.
    • Strong interpersonal skills and ability to work easily with a wide variety of individuals.
    • Well-developed teamwork skills.
    • Ability to maintain professional demeanor and good judgment.
    • Strong attention to detail and follow-through.
    • Strong Microsoft Office skills, including solid use of Outlook e-mail and calendar features, Excel, and Word.
    • Preferred skills: Experience with WordPress or similar CMS, Photoshop, Illustrator or In Design, Constant Contact • Prior law office experience preferred but not required.

This position offers a very competitive salary ($22,500 to $27,500 DOE) and a full benefits package.
